INFORMATION NOTICE REGARDING VISUAL AND AUDIO RECORDINGS FOR GUESTS AND SPECTATORS

This Information Notice has been prepared in accordance with the Turkish Personal Data Protection Law No. 6698 (“KVKK”) in order to inform individuals attending the Antalya Fashion Week event as guests, invitees, spectators, members of the press, industry representatives, or visitors regarding the processing of their personal data within the scope of photographs and video recordings taken during the event.
PURPOSE OF PROCESSING YOUR PERSONAL DATA
Antalya Fashion Week is a public-facing event with fashion, culture, design, art, media, and promotional characteristics, organized with the permission of the 21st Provincial Promotion and Development Board, the Turkish Tourism Promotion and Development Agency, and the Antalya Governorship.
Within the scope of the event, photographs and video recordings may be taken regarding the runway, stage, venue, fashion show area, general atmosphere, event flow, participation density, press areas, sponsor visibility, and the overall organization.
During such recordings, guests and spectators may naturally appear in the background, within the crowd, in general venue shots, or near the runway as a natural consequence of capturing the runway, stage, fashion show area, or the general atmosphere of the event.
In this context, your personal data may be processed for the following purposes:
- Organization, execution, and documentation of the event,
- Promotion of the Antalya Fashion Week organization,
- Recording runway, stage, fashion show, and general atmosphere visuals,
- Ensuring the visibility of the fashion event before media, press, cultural, and industry stakeholders,
- Conducting post-event promotional, archival, press, news, and communication activities,
- Managing sponsor, business partner, designer, brand, agency, media, and organizational processes,
- Publishing event visuals in national and international fashion programs, television broadcasts, social media accounts, websites, digital platforms, and magazines,
- Protection of the legal, commercial, and reputational rights of the organization,
- Conducting evidence, defense, and application processes in case of any dispute.
CATEGORIES OF PERSONAL DATA PROCESSED
The personal data that may be processed within the scope of this activity are as follows:
Visual and audio recordings: Photographs, videos, voice, and image recordings taken within the event area.
Physical venue/event participation information: Information regarding your presence and participation in the event area as reflected in recordings.
Visibility information: Information regarding appearing in the runway area, stage, spectator area, hall, foyer, press area, or general event shots.
Within the scope of this notice, the data processing activity does not aim to specifically target guests or spectators through close-up filming, interviews, individual promotional use, or publication together with their names and surnames.
If such a separate use becomes necessary, the relevant processing activity shall be separately evaluated and, where required, explicit consent shall additionally be obtained from the relevant person.
METHOD OF COLLECTING YOUR PERSONAL DATA AND LEGAL BASIS
Your personal data are collected physically and electronically through cameras, photo cameras, video recording devices, live broadcast equipment, press and media equipment, social media content production tools, and similar visual-audio recording devices located within the event area.
Within this scope, your personal data are processed based on Article 5/2-f of the Personal Data Protection Law No. 6698, namely:
“processing of personal data is necessary for the legitimate interests of the data controller, provided that such processing does not violate the fundamental rights and freedoms of the data subject.”
The legitimate interest of the data controller arises from the nature of Antalya Fashion Week as an event with fashion, culture, art, media, and promotional value; the fact that runway and atmosphere visuals constitute an inseparable part of the event; the natural reflection of spectator areas in fashion show recordings; and the need to promote and document the organization.
Within the scope of this data processing activity, care is taken to:
- Avoid specifically targeting guests and spectators,
- Use general shots, crowd shots, and atmosphere visuals whenever possible,
- Avoid interference with individuals’ private lives,
- Avoid humiliating, discriminatory, disproportionate, or event-incompatible visual use,
- Evaluate reasonable objections,
- Conduct separate legal assessments in cases involving close-up filming, interviews, personal promotion, or special shootings.
TRANSFER OF YOUR PERSONAL DATA
Your collected personal data may be shared, limited to the purposes specified above, with:
- Agencies, production teams, photography and video teams, social media and digital media service providers involved in the organization of the event,
- Designers, brands, sponsors, business partners, and event stakeholders,
- National and international press and broadcasting organizations, television channels, fashion programs, magazines, and internet publishers,
- Suppliers providing website, social media, digital broadcasting, and content management services,
- Lawyers, consultants, judicial authorities, and authorized public institutions and organizations in case of legal disputes.
Such sharing shall be limited to the purposes of promoting, publishing, documenting, reporting, archiving, and conducting media and communication activities regarding the event, as well as fulfilling legal obligations.
TRANSFER ABROAD
Since Antalya Fashion Week is an event with international fashion and media visibility, event visuals may be published in international fashion programs, foreign-based television channels, websites, social media platforms, digital broadcasting channels, and magazines.
In this context, visual and audio recordings taken within the event area, in which guests may appear in the background or within the general atmosphere, may be transferred abroad.
Cross-border data transfer activities shall be carried out in accordance with Article 9 of the Personal Data Protection Law No. 6698 and applicable legal transfer mechanisms such as adequacy decisions, appropriate safeguards, standard contractual clauses, binding corporate rules, or other mechanisms stipulated under the Law.
In cases where the legal conditions for international transfer cannot be ensured, additional legal evaluations shall be conducted for the relevant transfer activity and, where necessary, explicit consent of the relevant individuals shall be obtained.
RETENTION PERIOD
Your personal data shall be retained for the period necessary for the purposes for which they are processed.
Event recordings may be retained:
- During the publication period for event promotion and media broadcasts,
- As long as the event retains cultural, artistic, commercial, and legal archival value,
- Throughout the applicable limitation periods in relation to possible legal disputes,
- Within the scope of the nature and technical capabilities of social media, websites, press, and publication archives.
Once the reasons requiring processing cease to exist, your personal data shall be deleted, destroyed, or anonymized in accordance with the data controller’s retention and destruction policy.
RIGHTS OF THE DATA SUBJECT
Pursuant to Article 11 of the Personal Data Protection Law No. 6698, everyone has the right to:
- Learn whether personal data are processed,
- Request information if personal data have been processed,
- Learn the purpose of processing personal data and whether they are used in accordance with such purpose,
- Know the third parties to whom personal data are transferred domestically or abroad,
- Request correction of personal data if processed incompletely or inaccurately,
- Request deletion or destruction of personal data within the framework of the conditions stipulated by law,
- Request notification of correction, deletion, or destruction processes to third parties to whom personal data have been transferred,
- Object to any adverse result arising from the analysis of processed data exclusively through automated systems,
- Request compensation for damages incurred due to unlawful processing of personal data.

Data subjects may submit their requests within the scope of Article 11 of the Law in accordance with the Communiqué on the Principles and Procedures for the Request to Data Controller through the communication channels below:
